Choyce Creative was brought in by Amplified Event Strategy, a partner organization we frequently collaborate with on blockchain and crypto events. Amplified manages the overall event strategy and brings us in to handle the technical production aspects, ensuring every stage, screen, and stream runs flawlessly. This kind of technical problem-solving is something we also applied for the SALT Wyoming Blockchain Symposium, where we engineered a custom satellite internet solution for a similarly remote venue.

Goals and Objectives

The event set out to champion the power of in-person connections through the IRL movement, introduce the Chain Abstraction toolkit to promote user-first experiences, and showcase the integration of AI and Web3 technologies to build a more accessible, decentralized internet. Additionally, it aimed to engage the global developer community through an online and in-person hackathon with substantial bounties.

Target Audience

The event attracted a diverse mix of developers, blockchain enthusiasts, investors, and industry leaders from the AI and Web3 space, all eager to share knowledge, network, and explore the latest advancements in technology.

Challenges

Working across continents presented its share of challenges. Coordinating between U.S.-based and Thailand-based teams required navigating a 12-hour time difference, making effective communication a challenge. Language barriers with local vendors and crew added another layer of complexity, often slowing down operations and increasing the risk of misunderstandings.

The most significant challenge, however, was the tight setup timeline. We had just 36 hours to transform an empty venue into a fully operational event space, complete with load-in, rehearsals, and final tech checks. This limited window left no room for delays or errors.

Our Approach

To address the challenges of time zone differences, we adjusted our schedules to create overlapping working hours with both the U.S. and Thailand-based teams. This ensured that communication remained seamless, with critical decisions made efficiently during these shared windows. Regular check-ins kept everyone aligned, and clear documentation helped bridge any gaps.

On-site in Bangkok, we navigated language barriers by working closely with bilingual crew members who facilitated smooth communication between teams. When quick translations were needed, we relied on translation apps, allowing for fast, clear exchanges to keep operations moving without delay.

When facing the tight 36-hour setup window, we deployed a highly skilled crew with clearly defined roles. Task assignments were optimized to maximize efficiency, focusing on parallel workflows where possible to speed up the process. The event featured two distinct stages designed to create immersive experiences. The main stage showcased three LED walls, surrounded by custom scenic fabric that provided a seamless, branded environment. The secondary stage, though smaller, maintained the same visual consistency with a single LED wall and complementary scenic elements.
